Office Administrator
Weinstein A+U Architects and Urban Designers seeks an experienced, full-time office administrator committed to the smooth running of a design-focused, 30-person studio through serving the dual role of office admin and human resources support. The estimated base salary range is $58,000 – $72,000 annually.
Job Description
Reception & Office Operations
• Serve as the welcoming face of the office; greet visitors, answer and route calls, and manage incoming and outgoing mail and deliveries
• Keep the office running smoothly — plan purchases, keep great records, and tidy regularly to maintain studio supplies, printers, mini-projects, and general appearance
• Communicate clearly with senior leadership, clients, peers, building manager, and outside vendors across email, internal chat, phone, and in-person.
• Support marketing and architectural teams with printing, RFQ logistics, and supply orders
• Maintain clear purchasing records and assist with AP data entry
• Help architectural teams with documents, filing, and PM software as needed
Meetings & Events
• Manage conference room scheduling, A/V setup, and catering
• Coordinate casual in-office events (typically 2 “happy hour” style events monthly)
• Provide occasional event photos to the marketing team
• Contribute to clean-up and reset of shared spaces: reception, library, conference rooms, and kitchen
HR & People Operations
• Own the full employee lifecycle with support of the HR team: post positions, prepare offer letters, manage onboarding and offboarding logistics, and maintain accurate employee records
• Serve as a first point of contact for benefits questions and assist with open enrollment
• Support the HR manager with policy communication, performance review cycles, leave tracking, and employment compliance
Job Requirements
o Excellent organization and communication skills
o Ability to prioritize and handle multiple assignments at any given time
o Ability to maintain confidentiality and use discretion around sensitive personal and firm information
o Consistent in-office schedule in downtown Seattle – in-person role with standard office hours
o Proficient in Microsoft Office, i.e. Outlook, Word, Excel, Teams
o Experience with Adobe Creative Suite programs preferred (InDesign, Acrobat)
o Experience with AIA Contracts software or other document software not expected, but appreciated
o Previous experience in an A/E office preferred
